Job Description
o Takes ownership and plays a lead role in performing billing support duties and responsibilities.
o Ensures / validates complete and accurate processing of billing files prior to submission.
o Leverages understanding of program and billing processes to troubleshoot discrepancies and issues with both the Marketing and Promo teams.
o Provides support to suppliers for questions, invoice discrepancies and investigations,
o Troubleshoots issues with Excel files and application anomalies.
o Runs data audits to ensure accurate data alignment. Creates and reviews monthly aging files.
o Contributes to improving applications used by the merchandising team.
o Maintains positive and productive working relationships with suppliers and business partners.
o Assists in report generation for recurring and ad hoc reports.
o Provides backup support for Category Merchants, Marketing Team, and other WFM Team Members.
o Prepares documentation and reports for cross-functional teams (i.e. Accounting).
o Recognizes gaps in billing processes and recommends actions to improve.
o Works with Category Merchant Team Members to ensure data and information are collected, processed and completed on time and as per requirements.
o Handles higher-level specialist activity.
o Works closely with Team Members, customers and partners to understand process-related issues and develop effective solutions.
o Responds to stakeholder inquiries by researching, addressing, and resolving identified issues. Tracks, logs, and investigates all disputed invoices and tracks any applicable refunds.
o Researches and provides data for internal and external audits as required.
o Trains and mentors new Team Members and other analysts.
Skills:
o Understands billing and related accounting-type administrative support.
o Strong ability to use standard business software such as Word and Excel.
o Alteryx experience a plus.
o Ability to perform business math.
o Proficient in data presentation including charts and pivot tables.
o Experience with data analysis tools, including Everclear.
o Good math, reading, analytical, and deductive / inductive reasoning skills.
o Ability to effectively present information and respond to questions from merchants, business partners, customers, and the general public.
o Solid ability to write and proof-read reports, business correspondence, and procedure manuals.
o Able to build win-win partnerships will all stakeholders and business partners.
o Models excellent customer service skills.
o Able to work independently and in a group.
o Work priorities are set according to pre-determined deadlines.
o Applies knowledge and experience to organize and complete assignments.
o Solves problems using well-understood methods and technologies, refers complex or sensitive issues to higher levels.
o Works on assignments that are semi-routine or moderately complex in nature, recognizing the need for occasional deviation from standard practice.
o Follows standard data and situational analysis practices and procedures.
o Evaluates and resolves issues using knowledge of what information to collect and where to find it.
o Understands the WFM organizational structure, associated hierarchy and approval levels.
o Understands the types and timing of various departmental deadlines and events.
o Understands how the specialist role contributes to and facilitates Team Member, team, leader and business success.
Education & Experience:
o BA/BS degree and 2-4 years’ relevant experience OR equivalent combination of education and relevant experience.
The wage range for this position is $24.35-$41.39 Hourly, commensurate with experience. Whole Foods Market offers "Whole Benefits".
