Marketing Contracts Manager

Job Description

We are seeking a Marketing Contracts Manager to manage business processes for Whole Foods Market and Amazon Fresh contractual agreements related to agency & consultant services, independent contractors, production services, influencers, events, donations, team-specific software licenses, and other services.
 

The Marketing Contracts Manger is a member of the Store Support Marketing Operations Team, reporting to the Senior Team Leader, Marketing Operations. This role is a mid-level position supporting Marketing, Communications, Insights, Ecommerce, and Product Management contract needs as well as collaborating closely with a diverse stakeholder group.
 

Day-to-day, the Marketing Contracts Manager partners closely with the Legal team on reviews, revisions and signings and addresses incoming requests for contract needs including NDAs, MSAs, SOWs, and all agreements with third parties. Key responsibilities include managing and tracking all contracts in progress, proactively managing contracts approaching renewal, and ensuring compliance of all company policies, including security.  
 

The role serves as the key liaison between Marketing and Legal, where attention to detail and prioritization are key to successful support of the Marketing team. The ideal candidate is an organized, solution-oriented professional who thrives in a fast-paced, highly collaborative environment.

This position is based in Austin, TX, with an expectation of being in the Austin Store Support office five days a week.
 

Responsibilities:

  • Serve as day-to-day lead liaison between Marketing team members and Legal teams
  • Manage all incoming contract requests needs from Marketing team members including Non-Disclosure Agreements (NDAs), Master Service Agreements (MSAs) and project Statements of Work (SOWs)
  • Assist in security reviews as needed
  • Autonomously manage standard, common contracts based on existing Legal templates
  • Perform as go-to resource on spending policy and signatory processes, levels of escalation for approval
  • Own weekly status updates of contracts requests and monthly outlook of contracts reaching renewal
  • Partner with Legal on updating, creating templated agreements as common needs arise
  • Create and communicate standard guidelines, best practices for contracts and new vendor set up including payment terms, non-compete terms, confidentiality requirements, data compliance, etc.
  • Document Marketing contract-related processes and create reference training documents
  • Manage, assist, and train Marketing team with contract process and vendor set-up
  • Possess knowledge of usage rights and licensing in the areas of talent, music, fonts, social influencers, photography, creative assets, and work product to advise Team Members and consult in negotiations
  • Assist Legal with usage rights compliance inquiries
     

Qualifications:

  • Bachelor’s degree in Marketing, Communications, Legal or related field
  • 2-4 years’ professional experience in contracts or business processes, ideally Marketing-related
  • Preferred experience with Sharepoint, Onit, Coupa, Workday
  • Preferred experience in Retail/Grocery, Food & Bev, or CPG
  • Passion for details and organization at all levels, with vision for broader goals
  • Desired familiarity with Marketing disciplines including Production, Media, Influencer, Contract Labor, Software, Services, and Rights & Usage (talent, photography, fonts, etc.). Talent & Residuals experience a plus.
